lf you're like most English learners, you find it difficult to make phone calls in English. But if you're traveling abroad or working in a foreign company, using English on the phone is essential. So how do you conquer this last obstacle to fluency? Prepare yourself for any telephone situation with the following phrases and techniques.

Introductions說明

Start any telephone conversation by introducing yourself; "Hello, this is Peter jones. Jf you answer the phone and the caller fails to identify himself. you can say; "May l ask who's caHing. please?"

Asking for someone/Making a request要求某人/發出請求

If you're calling to talk to a specific person then phrase your request as a polite question e.g. "May I speak to Rachel Smith, please?" When you have an extension number but no name you can say: "Could I have extension number 635?" But if you're calling with a specific purpose, then a statement works best: "I'm calling to make a reservation“

"Please hold" is telephone language for "just a moment". When you need to be transferred (connected) to another extension you'll often hear: "Connecting your call“or "Please hold I'll transfer you."." If you call a business at a busy time, you might hear only a brief, "Hello please hold!" before the operator switches over to another line

Be sure to leave your phone number if you want the person to return your call. This is called a 'call back number'

1. 如何接聽電話

在公司接聽電話時,一般要先報上自己的姓名與公司名稱,

比如:

this is rita chang of abctrading company.

或者也可以說:

abctrading i help you?

(abc貿易公司,我能爲你作些什麼嗎?)

如果接聽的是分機,要報上自己部門的名稱,比如:

abctrading company,overseas sales i help you?

打電話一方聽到這樣的話後,要告訴對方自己想找的人:

i'd like to speak to n,please.

(麻煩一下,我想和brown先生講話。)

或者告訴對方自己要轉的分機號:

could i have extension 321,please?

(請轉接分機321。)

如果想轉接某個部門,而非具體某個人時,可以說:

i'd like to speak to someone in the personnel department.

(我想和人事部的人講話。)

如果接聽者即是打電話者要找的人,可以間單地回答:

speaking.

(我就是,請講。)

如果想了解對方打來電話的目的,千萬不要問:

why are you calling?

(爲什麼給我們打這個電話?)

因爲這樣極其不禮貌。恰當的說法是:

what is this call regarding?

(您打這個電話是關於什麼事情呢?)

2. 如何結束電話交談

用電話交談時,只能聽到對方的聲音而看不到對方的表情或姿態。因此,要想結束電話交談,事先記住一些慣用的表達辭句,是極爲重要的。如果打電話的人較熟悉,可以說一句:

is there anything else i can do for you?

(還有什麼我可以幫忙的嗎?)

來結束通話。如果你認識對方家人,不妨加上這樣的問候:

say hello to your folks.

(請代向你家人問安。)

這樣會增進彼此的情誼。如果你答應給別人傳話,可以說:

then i'll make sure he gets your message.

如果接待的是你的客戶,也可以使用一些慣用的客套話,比如:

thank you for calling.

5.接電話必備第五句:您需要留個口信嗎?

May I take a message for you?

Can I transfer you to XXX’s voice mail?

注:留言內容一般要包括以下幾個方面。(1)致電人姓名,(2)致電人公司名稱,(3)致電人電話號碼/分機號,(4)留言的日期和時間,(5)收到留言後需要做出的迴應(回撥電話還是等候致電人第二次打入),(6)留言記錄者簽名(以防收到留言的人有任何不明白的地方可以再溝通確認)。

6.接電話必備第六句:您能再重複一遍嗎?

經典表達:

Would you repeat that please?

請您再重複一次好嗎?

舉一反三:

I beg your pardon?

Would you say it once more please?

Could you repeat what you just said?

7.接電話必備第七句:感謝致電,結束通話

經典表達:

Thank you for your calling, have a nice day.
